Manage Workspaces, Projects and access
Learn how Workspaces and Projects organize your channels and billing, which roles control access, and how to invite people or fix missing access.
Updated September 30, 2026
NOWScale organizes your work in two levels. A Workspace holds billing, Tokens and people. Projects inside a Workspace group channels and decide who can work on them.
Workspaces
| Personal Workspace | Business Workspace | |
|---|---|---|
| Who has one | Every account, shown as Your Workspace | Created with Create Business Workspace |
| Billing | Your own plan, Tokens and invoices | The Workspace's own plan, Tokens and invoices |
| Roles | Owner and Member | Owner, Administrator and Member |
| Sharing | Share selected channels with collaborators | Invite members, create Teams, assign Project access |
Plans, Tokens and content belong to the Workspace that owns them. Switching Workspaces does not move content or balances.
A new Business Workspace becomes active after you complete checkout. You can then connect channels and invite your team.
Switch Workspace or Project
- Select the Workspace selector at the bottom of the sidebar.
- On the Workspaces tab, choose a Workspace or one of its Projects.
- On the Channels tab, choose which channels are in focus, then select Apply.
Workspace roles
- Owner has full control, including transferring ownership and deleting the Workspace.
- Administrator manages members, billing and every Project, but cannot delete or transfer the Workspace.
- Member works only in the Projects and channels assigned to them.
Owners and Administrators need a passkey or an authenticator app to manage members.
Project roles
Members get access through Project roles. You can combine a main role with additional responsibilities.
| Role | What it allows |
|---|---|
| Project manager | Full Project access, including channels, people and settings. |
| Publisher | Creates, edits and publishes content. |
| Contributor | Creates and edits drafts, but cannot publish. |
| Viewer | Views content, Analytics and Inbox without making changes. |
| Approver | Reviews and approves content awaiting approval. |
| Analyst | Views and exports Analytics data. |
| Community manager | Replies to and moderates Inbox conversations. |
Manage Projects
- In the Workspace selector, select Manage Projects, then open Projects in Settings.
- Select Create Project, or open an existing Project with Manage Project.
- Set the Project name, Project time zone and Approval policy, then save.
You can archive a Project you no longer use and reactivate it later. In a Business Workspace, only Owners and Administrators can manage Projects.
Invite people
- Open Settings, select the Workspace, then open People.
- Select Invite member and enter an email address or username.
- Choose the Projects, Project functions and Channel access, then select Send invitation.
In a Personal Workspace, you need an eligible paid plan to invite collaborators. Collaborators work only on the channels you select and cannot see your account settings, billing or private media library. Turn on Allow Token use if they should spend your Tokens on those channels. They see your Workspace under Shared with you and can leave it at any time.
If someone cannot see a channel
- Check that the correct Workspace and Project are selected.
- Check the channel filter on the Channels tab of the Workspace selector.
- Ask an Owner or Administrator to review the person's Project role and channel access in People.

Our support team cannot change roles or memberships for you. An Owner or Administrator of the Workspace must make those changes.
